The Data Entry & Traffic Assistant will work out of the Wells Fargo Center, and will service the Graphic Design & Print department. This position is responsible for providing clients and management with clear, timely, and accurate information surrounding design and print production projects. Understanding and utilizing the design job tracking database is a key factor in this role, along with the ability to gather all financial elements and associated information for the billing of design and print projects.


  • Ability to work quickly and efficiently within the design job tracking database to:
  • Enter internal and external job requests
  • Update jobs status information
  • Enter purchase order and purchasing information
  • Run database reports for department management
  • Prepare completed jobs and corresponding backup information for billing process
  • Create billing documents for all Wells Fargo Center events that reflect marketing and miscellaneous event costs
  • Track billing information and payment status for clients and events
  • Prepare all monthly financial documents for the department
  • Organize and archive job jackets upon completion of project and billing process
  • Work within archive system to retrieve projects/digital assets for future use
  • Regularly track postage website to ensure all transactions are accurate
  • Ensure that department staff members are following departmental procedures regarding time and costs
  • Assist Design Traffic Manager as needed

  • Bachelor’s Degree or equivalent
  • Efficient in Microsoft Word and Excel on both a Mac and PC
  • Previous knowledge of job tracking and billing software/database preferred
  • Familiarity with basic office administrative duties and equipment
  • Ability to work responsibly with confidential information
  • Great attention to detail
  • Ability to organize and prioritize workload to ensure that deadlines are met, while maintaining a high-level of work
  • Positive attitude and ability to work with and communicate effectively with others
