Overview

On behalf of Spectra, the Catering Manager will manage every aspect of their assigned events from the planning stages and client service through the end of the event; work with the Spectra team to train, schedule and supervise all event staff, as well as oversee operations during events to ensure events run smoothly. Additional responsibilities include coordinate communication between event staff and delegate assignments; be responsible for and ensure overall client customer satisfaction and experience. They will become part of a team of individuals working events on evenings, weekends and/or holidays.

Responsibilities

  • Plan the catering details and logistics for all events
  • Establish and maintain effective working relationships with Royal Botanical Gardens (RBG) staff, contractors and facility users
  • Work a flexible schedule, including long nights, early mornings, weekends and holidays as needed
  • Complete all duties with a customer service focus through teamwork and dedication to GREAT principle
  • Work with the client and RBG sales managers to plan menus and execute all events in the facility
  • Assist in the preparation of floor plans and the event area to meet the requirements of upcoming events/shows
  • Assist with the completion of post event settling invoicing
  • Function as a liaison between clients of the facility and the RBG facility staff
  • Recommend and evaluate required event staffing levels
  • Coordinate communication with RBG building staff and clients during load in and load out and be responsible for receiving event specific materials on the day of event
  • Investigate and resolve event-related complaints in cooperation with RBG in a professional manner ensuring customer satisfaction
  • Ensure that the facility is cleaned prior to, during and after all events to maintain appearance
  • Communicate with RBG Security and event staff to ensure security of patrons
  • Create and distribute detailed Catering Notes prior to every event in a timely manner
  • Assist and direct changeover crew with breakdown and setup of events when necessary
  • Serve as Manager on Duty or General Manager designate as scheduled
  • Attend Catering biweekly operations meeting with RBG staff and enter in correlating information
  • Gather event guarantees and prepare corresponding seating and meal plan
  • Serve as telephone backup when necessary
  • Responsible for signing out food & beverage cash and entering post event inventories
  • Other Duties as assigned

Qualifications

Knowledge of:

  • Operational characteristics of event management
  • Customer Service practices
  • Crowd management and control techniques fire and public safety regulations
  • Solid understanding of food service practices
  • Familiarization with culinary trends and service practices
  • Basic understanding of A/V equipment and systems
  • Terminology used in entertainment and convention settings
  • Relevant federal, provincial, and local regulations
  • Must have computer skills in Microsoft office applications and word processing, spreadsheets, database, presentation, and experience with banquet event management software

Ability To:

  • Plan, service, and supervise large events
  • Detail oriented, with strong organizational and time management skills
  • Ability to handle significant number of tasks in a condensed time frame while prioritizing
  • Analyze challenges, identify alternative solutions, project consequences of proposed actions and implement recommendations in support of organizational objectives
  • Communicate clearly and concisely in English, both orally and in writing
  • Establish and maintain good working relationships with RBG staff, contractors and facility users
  • Work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) work days and extended numbers of days

 Physical demands:

  • Must be able to stand for extended periods of time.
  • Must be able to lift, push, pull or carry heavy objects of at least 50 lbs and move tables, chairs and divider walls

PREFERRED QUALIFICATIONS

Prefer experience in conventions, banquets, entertainment, tradeshow/meetings with responsibility for catering, scheduling, arranging, promoting meetings, lectures, exhibits, conventions, concerts or other related events.

 

Education / Training:

  • Bachelor’s degree from an accredited college or university with major course work in facility management, hospitality management, culinary service, marketing, public relations, business management, or other related field
  • Additional years of experience may be substituted for formal education

Licenses or Certificates:

  • Possession of, or ability to obtain a current First Aid and CPR certificate
  • Possession of, or ability to obtain Ontario Smart Serve Certificate (alcohol servers license)
  • Possession of, ability to obtain police background check
