Overview

The Sales and Event Manager books events and generates revenue for the convention center spaces through varied sales efforts; manages every aspect of their assigned events from the initial call to writing the contract, to advance planning stages and through the end of the event’s invoicing; occasionally hires, trains, schedules and supervises event staff, as well building security and parking operations; interacts with facility vendors and local public safety officials to ensure events run smoothly; coordinates communication between event staff and delegate assignments; and is responsible for ensuring overall customer and lessee satisfaction and experience.

Responsibilities

  • Book the following types of events at the facility: Consumer Shows, Banquets, Meetings/Seminars, Social Events, Conventions, and various other Special Events
  • Handle incoming sales calls with a professional greeting and properly inform clients of date availability and scope of services
  • Responsible for weekly sales outreach goals to continue generating new business
  • Effectively close business and sell products including but limited to, room rental fees, food and beverage services, marketing services, audio visual services and ancillary services and equipment
  • Respond to all customer calls and requests within 24 hours
  • Participate in and prepare for weekly sales meetings
  • Submit weekly sales activity reports and perform related duties as required
  • Prepare monthly reports as required
  • Collect and effectively communicate customer correspondence to related internal departments
  • Maintain relationships with CVB and other hospitality related establishments
  • Participate in community organizations, events and networking opportunities
  • Plan, service and supervise large events
  • Prepare responses/proposals to convention center clients
  • Plan, direct and evaluate the work of subordinates
  • Provide leadership for event personnel
  • Analyze challenges, identify alternative solutions, and project consequences of proposed actions and implement recommendations in support of organizational objectives
  • Establish and maintain effective working relationships with staff, contractors and facility users
  • Work a flexible schedule, including long nights, early mornings, weekends and holidays as needed
  • Complete all duties with a customer service focus through teamwork and dedication to customer service
  • Assist in the advancement of events/shows
  • Assist in the preparation of building to meet the requirements of upcoming events/shows
  • Assist with the completion of pre-show event financial estimates
  • Assist with the completion of post-show event settlements and invoicing
  • Advise lessees on services available from independent contractors for events
  • Recruit and train event, parking and security staff
  • As needed, create work schedules for event, parking, and security staff, delegate assignments and review performance and results
  • Function as a liaison between users of the facility and the facility staff
  • Recommend and evaluate required event staffing levels
  • Coordinate communication between building staff and show staff during load in and load out
  • Establish and maintain effective working relationships with lessees, employees, municipal officials, service contractors and patrons/public
  • Investigate and resolve event-related complaints in a professional manner ensuring customer satisfaction
  • Ensure that the facility is cleaned prior to, during, and after all events to maintain building appearance and increase customer satisfaction
  • Inform/train all staff of customer service program, ensuring proper and constant execution
  • Make hospitality arrangements as needed
  • Communicate with municipal officials, including police, fire and medical services, event staff and public to ensure security of patrons and events run smoothly
  • Review emergency planning procedures with all events staff for each event
  • Create and distribute detailed data event resumes prior to every event
  • As needed assist and direct changeover crew with breakdown and setup of events
  • Coordinate with Finance/Payroll as needed to ensure event staff and other applicable parties are paid
  • Coordinate service needs with Food and Beverage department as needed
  • Serve as Manager on Duty as scheduled
  • Minimal travel may be required

Nonessential Job Functions:

Qualifications

  • Two to four (2-4) years of increasingly responsible experience in sales and/or event management in a stadium, arena, convention center, conference center or public assembly facility setting
  • Bachelor’s degree or better from an accredited college/university with major coursework in facility management, hospitality management, business management, marketing or related field
  • Strong oral and written communication skills
  • Ability to stand and walk for long periods of time, climb stairs and occasionally lift up to 40 lbs.
  • Must have computer skills in Microsoft Office applications and word processing, spreadsheets, database, presentation and Internet software
  • Knowledge of AutoCad software preferred
  • Ability to represent the facility as a sales representatives both locally and regionally
  • Ability to Research, identify, and qualify the appropriateness of groups for the facility
  • Ability to Assist in developing and implementing the sales and marketing activities of the facility including budget development, marketing initiatives with respect to sales generation, follow through systems and departmental procedures
  • Ability to initiate and articulate the sales and marketing message of the facility through excellent written and oral communications
  • Ability to initiate contact with prospective user groups and individuals
  • Ability to manage and participate in the development and implementation of goals, objectives, policies, and priorities of all sales programs and activities
  • Possession of, or ability to obtain, a valid drivers’ license
  • Knowledge of Operational characteristics of events
  • Ability to identify the needs of users of the facility
  • Knowledge of crowd management and control techniques
  • Knowledge of customer service practices
  • Knowledge of principles of supervision and training
  • Demonstrated familiarity with facility use contracts
  • Knowledge of fire and public safety regulations
  • Knowledge of A/V equipment and electronic systems in public assembly facilities
  • Experience with budget preparation and control
  • Familiarity with terminology used in entertainment/convention/public assembly settings including industry sales principals and terminology
  • Ability to communicate challenges with proposed solutions to the Director of Sales and Marketing

  • While performing the essential functions of this job, the employee is continuously asked to multi-task under time limits.  Position requires constant attention to precise details and accuracy of specified standards including: following simple to complex (more than 3 steps) instructions, and concentration which frequently extends beyond 30 minutes at a time. Employees in this role will constantly be in leadership role; this requires directing others either verbally or in writing to complete tasks in prescribed time frame.  This position also requires constant use of interpersonal skills including: ability to direct/motivate/inform staff and foster collaboration, being able to recognize and resolve conflicts, being able to openly communicate in writing and verbally with clients.

Physical demands:

  • While performing the essential functions of the job, the employee constantly operates a computer and other office devices such telephones, copy machines, fax machines, etc; occasionally moves about inside the office to access storage areas, cabinets and office machinery; constantly moves about the arena and event sites before, during and after events to service clients and supervise staff; constantly communicates via telephone, email and in-person with others to exchange accurate information.

Work environment:

  • The duties of this position are performed indoors and occasionally outdoors in the weather conditions prevalent at the time. The noise level in the work environments is usually moderate to loud during events and minimal during non-even times.
