The Catering Coordinator works with sales team from initial inquiry through event execution, providing event coordination and hospitality at the National Constitution Center through Brûlée Catering by Chef Jean Marie Lacroix. This position relays event information to appropriate interdepartmental personnel, provides tours to prospective clients, and works with the Director of Catering & Catering Sales Managers in forecasting and special projects. The ideal person in this position also demonstrates superior hospitality through communication and follow-up with staff, clients, and guests and achieves financial, operational, and business goals.

  • Maintains an in-depth knowledge of facilities, menus, vendors, and operations as they pertain to catering sales and operations to keep Brûlée Catering by Chef Jean Marie Lacroix a premier Philadelphia catering company.
  • Plans and coordinates event details such as space requirements, time schedule, food service, and event design with department and facility managers.
  • Serves as an event coordinator during events to minimize confusion and resolve problems, such as space adjustments and additional equipment needed.
  • Accurately reviews event information at interdepartmental meetings.
  • Assists Brûlée Catering by Chef Jean Marie Lacroix Sales Team in soliciting new business through written communications, telemarketing, tradeshows, and entertaining.
  • Assists sales and operational teams in forecasting, prospecting, rebooking, and special projects.
  • Demonstrates initiative and follow through to meet and surpass expectations.
  • Works additional hours when necessary due to large volumes of business, assisting with staff check-in, floor coverage, and additional responsibilities as needed.
  • Attends meetings internally and externally as requested.
  • Accurately creates, maintains, and distributes in-house event orders, diagrams, and other event information for food and beverage operations consistent with company guidelines
  • Adheres to established office file procedures in file creation, standard forms, tracing, etc. Maintains organized sales files and assists the sales team with event file creation.
  • Collects and tracks event deposits and receivables.
  • Works with the Director of Sales and Executive Chef to maintain and update catering and custom menus.
  • Exercises care, performs required maintenance, and ensures operating instructions, safety standards, and guidelines are followed in relation to Brûlée Catering equipment and/or facility assets.


  • Education: High School graduation or GED.
  • Experience: 2 years of related catering sales or coordinating experience and/or training.
  • Strong verbal, written, and interpersonal communication skills that are guest- and service-focused.
  • Strong competency in Microsoft Office software and accurate data entry - proficient computer skills necessary to communicate with others, prepare and provide event proposals and orders, prepare and analyze financial reports, and assist in overall organizational management.
  • Ability to manage extensive amounts of information from multiple managers.
  • Strong organizational skills and diligent attention to details.
  • Exceptionally knowledgeable about food and beverage (trends, pairings, planning) and event planning management.
  • While performing the duties of this job, the employee is regularly required to sit, talk, or hear, use hands to touch and feel objects, tools, or controls, and reach with hands and arms. The employee is frequently required to stand and walk, sometimes for long periods. Specific vision abilities required by this job include close vision, peripheral vision, depth perception, and ability to adjust focus.


The ideal candidate for this position will possess the following additional skills and behaviors:

  • A Bachelor’s degree in hospitality or business management is preferred.
  • Reserve Interactive Hospitality Software experience is preferred.
  • Ability to work proactively and independently.
  • Ability to make independent decisions regarding planning, organizing, and scheduling work for self.
  • A collaborative, flexible, and team-oriented work style.
  • Sound judgment and tact in handling and maintaining confidential information and matters.
