  • Overview

     

    Responsible for providing operational support to the General Manager and Toyota Park office. Participate in a variety of complex administrative, human resource, bookkeeping and clerical duties. Position will also provide general information and assistance to the public regarding departmental services, policies and procedures.

     

     

    Responsibilities

     

    • Provide general administrative and accounting support including input of weekly cash reports, A/R, A/P, data entry and event reporting.
    • Complete routine Human Resource functions including but not limited to: entering background screens, creation of personnel files, maintenance and filing of paperwork, assisting new hire in completion of new hire paperwork, presentation of policies and handbook information and resource for general questions.
    • Assist with basic payroll functions: compile and process weekly payroll, data entry, timekeeping verification, ensure W-4, I-9 forms are complete and on file; maintain employee deductions file.
    • Participate in a variety of duties relating to administration of a department; assist in preparing comprehensive reports, recommend improvements in work flow, procedures and use of equipment and forms.
    • Screen office and telephone callers; respond to complaints and requests for information on regulations, procedures, systems and precedents relating to responsibilities assigned; receive and route mail.
    • Type and proofread a wide variety of reports, letters, memos and statistical charts; type from rough draft, verbal instruction or transcribing machine recordings; independently compose correspondence, brochures and flyers related to responsibilities assigned.
    • Assist in a variety of department operations; perform special projects and assignments as requested.
    • Maintain calendars of department activities, meetings and various events
    • Understand the organization and operation of facility and of outside agencies as necessary to assume assigned responsibilities.
    • Participate in the development and implementation of goals, objectives, policies, and priorities related to clerical activities; assist in planning, organizing, evaluating and participating in the functions of the assigned department.
    • Receive and prioritize work requests from the General Manager; resolve deadline priorities.
    • Establish and maintain cooperative-working relationships in the course of work.
    • Perform related duties and responsibilities as required.

     

    Qualifications

     

    Qualifications:

    • Two years of increasingly responsible administrative, general office or accounting experience.
    • Thorough understanding of accounting and financial reporting principles and practices.
    • High level of proficiency with computers, Microsoft applications, accounting/payroll/HRIS systems.       Experience with Solomon, ADP a plus, experience preparing spreadsheets and reports.
    • Consistent and reliable attention to detail, accuracy and validity.
    • Ability to multi-task in a fast-paced, changing, environment. Must work well under pressure of deadlines.
    • Ability to interact with a diverse spectrum of individuals calmly, professionally, supportively.
    • Able to communicate clearly in the English language both orally and in writing using proper spelling, grammar and punctuation.
    • Type or word process at a speed necessary for successful job performances.
    • Business letter writing and basic report preparation.
    • Principles and procedures of record keeping and file keeping.
    • Principles and procedures of financial record keeping and reporting

    Intellectual/Social demands:

    • While performing the essential functions of this job, the employee is continuously asked to multi-task under time limits. Position requires constant attention to precise details and accuracy of specified standards including: following simple to complex (more than 3 steps) instructions, and concentration which frequently extends beyond 30 minutes at a time. This position also requires constant use of interpersonal skills including: ability to direct/motivate/inform staff and foster collaboration, being able to recognize and resolve conflicts, being able to openly communicate in writing and verbally with clients.

    Physical demands:  

    The duties of this position are performed indoors and occasionally outdoors in the weather conditions prevalent at the time. The noise level in the work environments is usually moderate to loud during events and minimal during non-event times.

     

    Work environment:

    • While performing the essential functions of the job, the employee constantly operates a computer and other office devices such telephones, copy machines, fax machines, etc.; occasionally moves about inside the office to access storage areas, cabinets and office machinery; occasionally moves about the arena and event sites before, during and after events to service clients and staff; constantly communicates via telephone, email and in-person with others to exchange accurate information
