  • Overview

    The Receptionist provides support to all departments. In addition to providing administrative support, the administrative receptionist operates the administrative phone console and assists the event services department by facilitating event related information to incoming callers. The high volume of calls that enter the facility must be managed, while the well-being is our clients are met. Full-knowledge of the Convention Center is essential to enable him/her to execute their position thoroughly. The Receptionist is the first contact that our clients and their customers have prior to entering the administrative offices.

    Responsibilities

    • To act as forefront to the administrative office; develop initial relationship with all contacts, consumers and clients.
    • Screen office and incoming callers; deliver messages and complaints to proper party; return messages left by patrons whom wish for information.
    • Maintain beautification of lobby and engaging with those arriving for appointments.
    • Support sales and events department in the handling of issues, events, or those that would like to use our facility.

    Qualifications

    • High School diploma or 2 year degree.
    • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Previous receptionist experience at least 1 year.
    • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
    • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
    • Bi-lingual preferred, speaking fluent in both English and Spanish.
    • Ability to operate a multi-line switchboard.
    • Ability to work unsupervised and to function both independently and as a team.
    • Ability to multi-task.
    • Excellent oral, written and interpersonal skills, the ability to compose professional memos and emails.
    • Function in fast pace work environment.

    Physical Demands:

    • Frequent sitting in a stationary position while at desk/computer, on phone, in meetings, etc.
    • Occasionally stand or walk about the office when accessing files, using office machinery, etc.
    • Frequently use hands/arms to handle or feel objects or reach (ex. telephone, computer, office machinery)
    • Ability to talk and hear; must be able to frequently communicate with internal and external clients; must be able to exchange information accurately in all situations.
