  • Overview

     

    The Catering Sales & Operations Supervisor will manage every aspect of their assigned events from the sale to advance planning stages through the end of the event; work with event supervisors to train, schedule and supervise all event staff, as well as oversee building, parking, security and interact with local public safety officials to ensure events run smoothly; coordinate communication between event staff and delegate assignments; be responsible for and ensure overall customer satisfaction and experience. Will become part of a team of individuals working events on evenings, weekends and/or holidays.

     

    Responsibilities

     

    • Meet with clients and represent the facility and catering in sales situations & presentations
    • Work with chef to cost custom menus
    • Plan, service and supervise events
    • Provide leadership for event personnel
    • Establish and maintain effective working relationships with staff, contractors and facility users
    • Work a flexible schedule, including long nights, early mornings, weekends and holidays as needed
    • Complete all duties with a customer service focus through teamwork and dedication to GREAT experience
    • Work with the client and sales team to advance all events in the facility.
    • Assist in the preparation of building to meet the requirements of upcoming events/shows
    • Assist with the completion of pre-event financial estimates
    • Assist with the completion of post-event settlements
    • Function as a liaison between users of the facility and the facility staff
    • Recommend and evaluate required event staffing levels
    • Coordinate communication between building staff and event staff during load in and load out
    • Establish and maintain effective working relationships with team, client staff, service contractors and patrons/public
    • Investigate and resolve event-related complaints in a professional manner ensuring guest satisfaction
    • Assist and direct changeover crew with breakdown and setup of events when necessary
    • Attend building events, and catering meetings
    • Gather event guarantees and prepare event billing
    • Serve as telephone backup when necessary
    • Responsible for signing out food & beverage cash and entering post event inventories
    • Other Duties as assigned

     

    Qualifications

     

    Knowledge of:

    • Sales techniques & proposals
    • Operational characteristics of event management
    • Customer service practices
    • Basic understanding of food service practices
    • Terminology used in entertainment and convention settings
    • Relevant federal, state, and local regulations
    • Must have computer skills in Microsoft office applications and word processing, spreadsheets, database, presentation, and internet software

    Ability To:

    • Plan, service, and supervise large events
    • Analyze challenges, identify alternative solutions, project consequences of proposed actions and implement recommendations in support of organizational objectives
    • Communicate clearly and concisely in the English language, both orally and in writing
    • Establish and maintain effective working relationships with staff, contractors and facility users
    • Work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) work days and extended numbers of days

     Physical demands:

    • Must be able to stand for extended periods of time.
    • Must be able to lift, push, pull or carry heavy objects of at least 50 lbs.
    • Ability to move tables, chairs and divider walls

    PREFERRED QUALIFICATIONS

     

    Experience:

    Prefer experience in conventions, banquets, entertainment, tradeshow/meetings with responsibility for scheduling, arranging, promoting meetings, lectures, exhibits, conventions, concerts or other related events.

     

    Education / Training:

    • Bachelors degree from an accredited college or university with major course work in facility management, hospitality management, marketing, public relations, business management, or other related field
    • Additional years of experience may be substituted for formal education
