  • Overview

    Responsible for the overall coordination of all events of held at the Durham Convention Center. Provides professional client services support in the planning, organization and management of all events within the facility, and monitoring the logistics of these events, and all event coordination tasks after events are booked through conclusion, by performing personally or through subordinates the following duties:


    • Directs and supervises Event Services team and all Front of House Food and Beverage staff
    • Oversees the event related activities of all employees engaged in providing event coordination and management, telecommunications, technical support, audio-visual services, event security, fire regulation compliance, exhibitor services, box office, and overall client satisfaction during all events at the Durham Convention Center.
    • Meets and consults with client groups to plan and organize assigned meetings and/or events
    • Directly responsible for all event safety and security
    • Responsible for maintaining communications and strong partnerships with service contractors that support events at the Durham Convention Center.
    • Maintains relationships with relevant government agencies and departments related to permitting, event security, fire guidelines, licensing and any other event related requirements
    • Schedules and coordinates the work of service staff, and other employees to ensure service is within budgeted expectations with technical precision and a positive guest experience
    • Conducts regular physical inventories of food and beverage supplies and assesses projected needs.
    • Establishes controls to minimize food, beverage and supply waste and theft. Maximizes opportunities for recycling and waste diversion.
    • Schedules and executes regular training for all subordinate staff
    • Safeguards all food preparation employees by implementing training to increase their knowledge about safety, sanitation, and accident prevention principles.
    • Enforces Company policies with all staff with consistency and fairness
    • Responsible for product presentation with a focus on improving the look of food and beverage. Produces attractive and consistent product presentation
    • Responsible for labor relations – evaluating and hiring staffing agencies, ordering staffing for events as requested by the event services team while maintaining budgeted labor allowances.
    • Protects the assets of the Durham Convention Center and creates an environment for employees to do the same.
    • Represents the integrity of Durham Convention Center professionalism and product by executing events that are to Spectra standards.
    • Keeps clients informed as to status of deadline schedules, including but not limited to floor plan submissions, meeting room set-up specifications, insurance requirements, food guarantees, deposits and other relevant details
    • Responsible for timely communication of event details to all required internal and external contacts to ensure events are effectively coordinated to meet and exceed customer expectations.
    • Leads by example and works scheduled events as needed to ensure client satisfaction.
    • Meets all required production deadlines
    • Prepares cost estimates and monitors and collects on final billings.
    • Responsible for the accurate and timely set up, event schedule and teardown of all events.
    • Serves as primary liaison between clients and facility departments during all phases of planning the event, during the event and closing the event.
    • Responsible for management, coaching and development of all subordinate staff
    • Provides direction or handles directly all specialized client requests, concerns, and problems
    • Keeps General Manager apprised of all situations of risk
    • Responsible for leading production meeting weekly and banquet captain meeting monthly.
    • Responsible for positive customer survey results
    • Prepares departmental annual budget; recommends capital improvements; controls and monitors departmental expenditures.
    • Prepares weekly reports, attends meetings and works on projects assigned by the General Manager.
    • Develops standard operating procedures and maintains their compliance.
    • Interprets and applies all relevant federal, state and local life safety and licensing regulations
    • Oversees all alcohol product, placement, pricing, inventory, licensing, safety, security, training and cost of sales.
    • Oversees all scheduling, linen orders, parking logistics, permitting, agency staffing, product purchasing as related to events
    • Other duties and additional venue(s) may be assigned.

    Supervisory Responsibilities:  Supervises Event Managers in accordance with Spectra’s human resources policies and procedures and all applicable laws (including Affirmative Action) to include appraising performance, disciplining employees in conjunction with Human Resources, and addressing complaints and resolving problems. During event hours, directly oversees all operations and departments as related to the event.

    • 5+ years related experience in management in a public assembly facility, convention hotel, or other industry-related organization. Or equivalent combination of education and experience.
    • Comprehensive understanding of food and beverage large scale catering operations
    • Leadership proven track records. Leads by example and be able to lead, motivate and relate to staff, peers, and clients.
    • Superior time management skills
    • Must be committed to learning and communicating when in need of guidance or assistance
    • Hands-on approach to management. Keeps a presence on the floor and back of house for employees
    • Dependable, accountable, resourceful and responsible
    • Ability to obtain State of North Carolina Food Handler's Certificate, ABC liquor permit and alcohol server training.
    • Ability to effectively organize functions in excess of 1,000 guests
    • Must be able to project a professional manner and appearance, and communicate effectively and gain the respect of clients, staff, ownership and the general public
    • Creates an environment of collaboration among employees and management while maintaining effective leadership of the department
    • Keeps abreast of new developments in the industry
    • Must be able to understand tasks that are assigned and complete them under limited supervision and in a timely manner.
    • Must be an excellent communicator.

    Education and Experience

    Bachelor's degree (B. A.) from four-year college or university in Hospitality Management, F & B Management, Business or related field. Equivalent job experience will be considered


    Computer Skills

    To perform this job successfully, an individual should have knowledge of computers, computer programs, diagramming software and event management software. Should be proficient with Microsoft Office applications.


    Other Skills and Abilities

    This position demands the ability to work long and irregular hours that may vary due to functions and may include day, evening, weekends and/or holidays.


    Physical Demands

    While performing the essential functions of the job, the employee constantly operates a computer and other office devices such telephones, copy machines, fax machines, etc; occasionally moves about inside the office to access storage areas, cabinets and office machinery; constantly moves about the arena and event sites before, during and after events to service clients and supervise staff; constantly communicates via telephone, email and in-person with others to exchange accurate information, . Employee will frequently lift and move boxes of product and occasionally lift and/or move up to 75 pounds. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.     While performing the duties of this job, the employee may be required to work both indoors and outdoors as required by the function. Must have the physical ability to maneuver around facility(ies), at times, walking, standing and/or climbing stairs for 8-10 hours or greater as required.
