  • Overview

    The Office Assistant is responsible for assisting the Office Manager with administrative support for accounting operations, including but not limited to, invoicing and accounts payable. Responsible for providing Sales Reports and providing data and fiscal support to other departments within the company.   This position functions as a Cash Room Supervisor.


    • Support the Office Manager with administrative support as required including but not limited to accounting practices for quality control; invoicing, accounts receivable, general accounting, clerical, generating sales reports, file management and archiving functions.
    • Responsible for overseeing the work and productivity of part time Cash Room Attendants including training, coaching, mentoring and discipline.
    • Assist with company vault functions and audits.
    • Responsible for processing, balancing and reporting of cash during events. Will assist with preparation of starting banks, balancing of event change orders and other related cash functions
    • Supporting the Director of Food & Beverage and Office Manager with filing and administrative duties such as company phone calls, emails and other administrative support.
    • Maintain highest level of strict confidentiality on highly sensitive, private and/or proprietary information, without exception. Requires the highest moral and ethical standards with regard to access and use of company files, reports and systems.


    • High school degree or equivalent
    • Associates (A.A., A.S., B.S., B.A.) or higher education degree in accounting, business, finance or related field.
    • One or more years’ experience in an accounting or related office support position.
    • Additional experience accepted in lieu of degree
    • Two or more years’ cash handling experience. Experience with high volume of cash preferred.
    • A general understanding of accounting and financial reporting principles and practices preferred.
    • Advanced proficiency with computers in a Windows platform including Microsoft applications. Advanced experience with Microsoft Excel, Outlook and/or other spreadsheet / reporting systems preferred.
    • Consistent and reliable attention to detail, accuracy and validity.
    • Ability to multi-task in a fast-paced, changing environment. Must work well under pressure of deadlines.
    • Ability to successfully interact and collaborate all team members professionally and supportively.
    • Excellent organizational and time management skills
    • Must adhere to the highest standards of ethics, integrity, professionalism and discretion. Ability to execute solid management decisions quickly and efficiently.
    • Represent the company with vendors, corporate, clients, employees, volunteers, etc.
    • Ability and willingness to work extended hours as required including evenings and weekends due to the event-driven business

    Intellectual/Social demands:

    While performing duties of this job, the employee is constantly required to multi-task and prioritize work. Position requires constant attention to complex details and accuracy of specified standards of work including:  following simple to complex (more than 3 steps) instructions, and concentration which frequently extends beyond 30 minutes at a time.  Position requires constant use of excellent interpersonal, professional communication skills with management, guests, employees, volunteers and vendors in-person, by phone, and in writing.  Ability to accurately manipulate numbers using addition, subtraction, multiplication, division, and percentages. Constantly work on tasks independently and occasionally as a part of a team for a variety of tasks.  Ability to maintain a positive and productive attitude, and work with attention to detail and accuracy in high pressure situations. Ability to read and comprehend complex documents.  Ability to learn new computer systems along with effective typing skills.  Ability to speak, write, read clearly and concisely in the English language. 


    Physical demands:

    While performing duties of the job, the employee will constantly be required to grasp, fingering manipulation, and feeling while using basic office equipment such as a computer, phone, copy machine, fax machine, etc. Occasional exposure to a loud event based / arena environment. Employees will occasionally be required to lift up to 30 pounds to move office equipment or transport paperwork.  Vision requires ability to constantly operate a computer or other office equipment by adjusting focus and ability read detailed material.  Ability to frequently hear communication of others by phone and in person.


    Work environment:

    The duties of this position are performed primarily indoors in an office environment. The noise level in the work environment is occasionally moderate to loud depending on arena events, especially in situations involving live music or thousands of guests. Employees will be required to sit and use office equipment for long periods of time.
