    The Event & Marketing Coordinator is responsible for the coordination, staffing, execution, safety and security, customer service and post event reporting for assigned events at the Ryan Center and assigned events at the Boss Arena including but not limited to: URI basketball games, concerts, trade shows and community events. This position will also coordinate assigned marketing, social media and oversee luxury suites for arena events.     Responsibilities

    Duties will include but not limited to:

    • Responsible for the planning, coordinating, and facilitating the logistics of assigned events within the arena and effectively interfacing with both internal and external clientele.
    • Responsible for financial reporting of events to include, estimates, settlements, and post event revenue reports for all events.
    • Servicing & fulfillment of Premium Services clients for all events (Suites, Alumni Lounge, Concourses, Rhody Pub and any other special spaces).
    • Hiring, training, supervising and retaining of premium area event staff, event interns and marketing interns
    • Creation and development of Premium Services presentation materials and collateral materials.
    • Liaison with Senior Ticket Sales Manager for special event execution. Responsibilities include but not limited to event logistics, ticket coordination, food orders, rental space management and coordination.
    • Meet with event clients prior to events and assist in determining event needs, oversee related staff and provide information and direction to in-house departments and support staff.
    • Liaison with catering department responsible for communicating upcoming event rentals and contracts for potential catering orders.
    • Management of all on-campus scheduling (dining hall/Union tables, Union banners, Union/Resident Hall digital graphics, door hangers, F/S mailers, etc.) as well as managing the community calendar execution for RC, Boss and Athletics including URI.edu event submissions. 
    • Management of ordering all collateral material needed for RC shows and Athletic marketing needs (flyers, posters, banners, business cards, yard signs, flags, etc.)
    • Assist Marketing Manager on the design and fulfillment of any show related collateral material 
    • Assist the Marketing Manager with Ryan Center Social Media 
    • Assist in the creation and implementation of grassroots marketing plans
    • Develop promotions and day of event activities
    • Social Media – oversee under the direction of the Marketing Manager the various Ryan Center Social Media sites to include but not limited to Facebook, Twitter, Pinterest, Instagram and others.
    • Perform other tasks as assigned by General Manager, Assistant General Manager or Marketing Manager.

     

     

     

    NON-ESSENTIAL JOB FUNCTIONS:

    • Perform other duties and responsibilities as required, which occurs often.

     

     

    Qualifications

    • Bachelor’s degree from an accredited college or university with major course works in Sports Management, Business Administration, Marketing or other related fields.
    • Minimum of 2 years of responsible experiences in event management with a stadium, arena, convention center or public assembly facility.
    • Strong organizational, customer service and motivational skills required.
    • Ability to work on multiple projects at once.
    • Ability to communicate clearly and concisely in the English language, both orally and in writing.
    • Advanced proficiency with Microsoft Office Applications as well as the Internet.
    • Advance proficiency with Adobe Photoshop.
    • Capable of working a flexible schedule and extended hours including but not limited to working early mornings, nights, weekends and holidays in addition to traditional business hours
    • Possession of, or ability to obtain, a valid drivers’ license.

    INTELLECTUAL/SOCIAL DEMANDS:

     

    While performing the essential functions of this job, the employee is continuously asked to multi-task under time limits. Position requires constant attention to precise details and accuracy of specified standards including following simple to complex (more than three steps) instructions, and concentration which frequently extends beyond 30 minutes at a time. Employees in this role will constantly be in a leadership role; requiring directing others either verbally or in writing to complete tasks in the prescribed time frame. This position also requires constant use of interpersonal skills including the ability to foster collaboration, recognize and resolve conflicts, and openly communicate in writing and verbally with clients.

     

    PHYSICAL DEMANDS:

     

    While performing the essential functions of the job, the employee constantly operates a computer and other office devices such as telephones, copy machines, postage machines, fax machines, etc.; frequently moves about inside the office to access storage areas, cabinets and office machinery; constantly moves about the facility and event sites before, during and after events to service clients and supervise staff; constantly communicates via telephone, email and in-person with others to exchange accurate information.

     

    WORK ENVIRONMENT:

     

    The essential functions of this position are performed indoors. The noise level in the work environment is usually moderate to loud during events and minimal during non-event times.
